Practice Codes

In order to acquire and maintain the Certification with International Premium Registrars, the Company agrees to comply with the following requirements:


a. The Company will make sure to provide and update the name and contact details of the Management Representative, who has the authority and responsibility to maintain the Company Management System. The Management Representative will act as a contact with International Premium Registrars and any change of Management Representative must be formally communicated in writing to International Premium Registrars no later than 30 days after their nomination.


b. The email address of the Authorized Representative (Representative of the Company Management) that appears on the Certification Request (or the one that is subsequently declared in case of a change), will be the valid means of communication for the exchange of information required between the parts. This applies to all the information exchange needs foreseen in the proposal and Certification Contract, as well as in the Terms and Conditions / Code of Practice and those related to the activities, processes and procedures of the Audit and Certification of International Premium Registrars.


c. Authorized Representative (Representative of the Company Management) may direct your emails to your International Premium Registrars partner according to the subject. You must also acknowledge receipt and / or respond to the emails with the required information as indicated in the same email. The communications shall take effect from the date of acknowledgment of receipt or confirmation of the recipient.


d. Authorized Representative (Representative of the Company Management) must provide the information required by International Premium Registrars to accredit the Personality of the Legal Representative, who must sign the Certification Agreement and any of its variants or modifications (listed in point 1) apply.


e. The Company will ensure that all required records deemed necessary to demonstrate the implementation and operation of the relevant Management System are available and accessible for the performance of the Audits, in order to complete the evaluation program.


f. In the event that International Premium Registrars determines that the Company has not complied with all the requirements for the granting or maintenance of the Certification, it will inform the Company about the aspects in which it has not complied and will require the taking of the Corrective Actions.


g. When the Company demonstrates that the Corrective / Preventive Actions have been taken to correct the above (f), within the specified period, International Premium Registrars will manage, with an additional cost for the Company, the repetition of the necessary parts of the Audit, to unless this can be effectively verified remotely.


h. If the Company does not comply with the presentation of the Corrective / Preventive Actions to correct the foregoing (f), within the specified period, it may be required that International Premium Registrars repeat the Audit in its entirety (at additional cost to the Company).


i. Any Certificate issued relates only to the Site or the audited Sites of the Company; The Scope and the Standard Certificates will be declared in the Certificate.


j. The fees and expenses will be paid by the Company no later than 30 days from the date of issue of the invoice and at least 6 weeks before the agreed date for the hearing (whichever comes first). Any delay in the payment that originates the need to reschedule the date previously agreed for the Visit could give rise to a penalty and eventually the Suspension and Withdrawal of the Certificate.


k. The Audits of Monitoring and Activities of Surveillance of the Company by International Premium Registrars are necessary for the maintenance and continuity of the Certification and will be carried out according to the periodicity established in the Economic Proposal (Annex A). The Company will allow International Premium Registrars the right of access to carry out such activities whenever it is considered necessary.


l. International Premium Registrars reserves the right to make Visits without prior notice, as required.


m. The Companies that request the Certification must have previously made at least one Internal Audit and one Management Review. Companies certified by International Premium Registrars have the requirement to perform their Internal Audits and Management Reviews at least once a year.


n. All Companies Certified by International Premium Registrars must keep a record of all the Complaints of their Clients related to the activities covered by the Scope of the Operations indicated in the Certificate, and they will make it available to International Premium Registrars upon request as required.


o. The Certified Company must adhere to the Rules for the Use of Certification Marks / Logos of International Premium Registrars published on the International Premium Registrars Web Site http://www.ipregistrars.com They can also be requested at sales@ipregistrars.com.


p. In your case, International Premium Registrars will notify the Company about the inappropriate use of the Certification Marks / Logos or about any inaccurate statement about the Scope or status of the Certification and will request the return of the corresponding Certificate. If within a maximum period of 30 days the company has not returned the Certificate, International Premium Registrars may take the corresponding legal actions.


q. If required, the Company will accept the presence of the Authorized Representatives of the corresponding Accreditation Body, as observers of the Audit carried out by International Premium Registrars. This will only be to allow the Accreditation Body to review the activities and conduction of the Audit by the International Premium Registrars Audit team. The presence of an Accreditation Body will not affect in any way the confidentiality or the decision-making processes of International Premium Registrars for the granting and maintenance of the Certification.


r. The Main Office of International Premium Registrars maintains the exclusive responsibility and authority for the decisions of Approve, Maintain, Renew, Extend, Reduce, Suspend and Withdraw the Certification of the Companies.
